Guest Registry Help

Overview

The Guest Registry allows you to view and manage guest information submitted during check-in. This feature supports compliance with lodging regulations by recording and storing guest details. You can filter records by date range and export data as CSV.

Display Fields

Check-in Date Guest's check-in date
Checkout Date Guest's checkout date
Guest Name Full name of the guest
Address Guest's home address
Contact Guest's phone number or email address
Nationality Guest's nationality
Passport Number Passport number (for foreign nationals)
Primary/Companion Whether the guest is the primary guest or a companion
ID Document Link to the submitted ID document image

Detailed Features

Date Filter

Use the calendar picker to select a start date and end date to narrow down guest records for a specific period.

  • Specifying only a start date shows data from that date onward
  • Specifying only an end date shows data up to that date
  • Leaving dates unspecified shows all guest records
  • Changing the date filter automatically resets the page to page 1

CSV Download

Clicking the "CSV Download" button in the top-right corner downloads all records matching the current date filter as a CSV file.

  • The downloaded CSV includes all guest information fields
  • The filename format is guest-submissions-YYYY-MM-DD.csv (using the download date)
  • All matching records are exported regardless of the current pagination page

ID Document Preview

When a "View" link appears in the ID Document column, clicking it opens an overlay modal to preview the submitted ID document image.

  • Click outside the modal or press the "×" button in the top-right to close it
  • A "-" is displayed when no ID document has been submitted

Guest Type Distinction

The Primary/Companion column uses badges to distinguish the type of guest:

  • Primary: The main registered guest (blue badge)
  • Companion: A guest accompanying the primary guest (yellow badge)

Pagination

Up to 50 guest records are shown per page. Use the "Previous" and "Next" buttons to navigate between pages. The current page number and total pages are shown in the center.


FAQ

Q: When is guest information registered?

A: Guest information is registered when a guest submits the guest form during check-in. For guest form configuration, see the "Guest Form Configuration" help page.

Q: What should I do if an ID document image is not displayed?

A: The guest may not have submitted an ID document, or the upload may have failed. If ID document submission is required in your guest form settings, ask the guest to resubmit.

Q: Does the CSV export include only the records shown on the current page?

A: No. While pagination limits the number of records displayed, the CSV export outputs all records that match the current date filter conditions.

Q: Can I delete individual records?

A: Currently, there is no feature to delete individual guest registry records from the management screen.

Q: What happens if no facility is selected?

A: Guest records are not displayed when no facility is selected. Please select a facility using the facility selector at the top of the screen.
