Change Date or Time

Overview

The "Change Date or Time" feature lets you reschedule your reservation's check-in and check-out dates and times (or start and end times for hourly bookings) without contacting the facility by phone or email.

Changes are limited to the same room and plan — you can only shift the time window. If you need to change the room type or plan, please cancel the current reservation and make a new booking.


Before You Begin

Check the conditions under which "Change Date or Time" is available and when it is not.

Features

Feature 1: How to Change the Date or Time

  1. Open the "Bookings" tab in the navigation bar

  2. Tap the reservation card you want to modify

  3. In the "This reservation" section, tap the "Change date or time" button

  4. The date/time change modal opens and displays a calendar grid. Your current reservation appears as a purple block labelled "Current" on the grid

  5. Tap an available slot (shown in green) for your new start time, then tap the slot for your new end time to select the range

    Modifications must stay within the same day — cross-day selections are not supported.

  6. A preview banner automatically appears at the top of the modal showing the server-calculated amounts:

    • New total
    • Difference from original (e.g. +¥500 or −¥300)

    No manual amount entry is required — the fee is calculated automatically by the server when you select the new time range.

  7. If the new total is higher than the original, a card input form (Stripe Elements) will appear. Enter your card details

  8. Tap "Confirm change" to complete the modification


Feature 2: Reading the Grid

The calendar grid uses colour to indicate availability:

Colour Meaning
Purple ("Current" label) Your existing reservation (before the change)
Green Available slot — can be selected
Grey Occupied by another reservation or not selectable

Grey slots cannot be tapped. Only green slots are selectable.


Frequently Asked Questions

Q: Can I change the room type?

A: Only the date and time can be changed with this feature. To switch rooms, please cancel the current reservation and make a new booking for the room you want.

Q: Can I change the date right before check-in?

A: Changes are generally available up to 24 hours before check-in. The exact deadline may vary by facility. Once the deadline has passed, the "Change date or time" button will no longer appear.

Q: Can I select the same time slot as my current reservation?

A: Yes. You can select a range that overlaps with your current reservation (shown in purple on the grid). However, if the new selection is identical to the existing booking, no change will be applied.

Q: Can I select a time that overlaps with another guest's reservation?

A: No. Time slots occupied by other reservations are shown in grey and cannot be tapped.

Q: Can I change a member reservation?

A: Member reservations are not currently eligible for this feature. Please cancel and rebook.

Q: Can I change a locker reservation?

A: Locker reservations are not eligible. Please contact the facility directly.

Q: If the new price is lower, will I receive a refund for the difference?

A: Refund eligibility for a reduced amount depends on the facility's policy. Please contact the facility directly.

Q: "Payment is required because the amount differs" is shown

A: When the new total is higher than the original, you will need to pay the difference. Enter your card details in the Stripe form and tap "Confirm change."

Q: The displayed amount looks different from what I expected — could the price have changed?

A: If the facility's pricing was updated while you were selecting a new time, the system recalculates the fee at the moment you confirm. If the rate changed between the preview and your confirmation tap, a "Fee rate changed — please preview again" error (409) is shown. Tap "Review" again to see the updated amounts before confirming.

Q: I see an error saying the reservation cannot be modified (old reservation)

A: Reservations created before the automatic fee calculation feature was introduced do not have the pricing data required for modification. You will need to cancel the current reservation and make a new booking. If you are unsure how to proceed, please contact the facility.


Troubleshooting

"Change date or time" button is not displayed

  • Check that your reservation status is "Pending" or "Confirmed." This button does not appear for checked-in or cancelled reservations.
  • If check-in is less than 24 hours away, the modification deadline has passed.

No green slots are visible

There may be no availability on the selected day. Try a different day or contact the facility.

"The new slot overlaps with another reservation" error

Another booking exists for the time slot you selected. Choose a different time range (green slots only).

Card payment fails when confirming the change

Double-check your card number, expiry date, and security code, then try again. If the issue continues, contact your card provider or the facility.

The change is not reflected after confirmation

Refresh the page to reload your reservation list. Processing can occasionally take a moment.

"Fee calculation failed" error (server error 502)

This is a temporary error on the server side. Wait a moment and tap "Review" again. If the error persists, contact the facility.

"Fee rate changed — please preview again" error (409)

The facility's pricing was updated while you were in the modification flow. Tap "Review" to recalculate with the latest rates, then confirm.

The fee preview is not shown / "This reservation cannot be modified" error

Your reservation may have been created before the automatic fee calculation feature was introduced. Reservations without pricing data (room_plan_id not set) cannot be modified using this feature. Please cancel and rebook, or contact the facility for assistance.
